4. Consultations, Photos, and Beauty Care Notes
Consultation forms may include information about your hair goals, product use, past treatments, allergies, sensitivities, scalp condition, service preferences, images, and stylist notes. Some of this information can be personal or sensitive in context.
We use consultation data to help salons provide services, keep client records, compare before and after results, recommend services or products, support follow-up care, and respond to customer or salon requests. Salon staff with appropriate platform access may view this data for the salon or branch they serve.
You should avoid uploading images or notes that include unrelated third parties, identification documents, medical records, or other information that is not needed for salon services.

We keep personal data only for as long as reasonably needed for the purposes described in this policy, including to provide services, maintain salon and customer records, resolve disputes, meet accounting and tax obligations, enforce agreements, keep security logs, and comply with legal requirements.
Appointment, invoice, reward, consultation, and audit records may need to be kept after an account is closed if they are required for a salon's operational records, financial reporting, fraud prevention, legal claims, or regulatory obligations.
7. Security
We use technical, administrative, and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration, and disclosure. These measures may include access controls, password protection, token-based authentication, role-based staff permissions, logging, secure storage practices, and backup procedures.
No online service is completely secure. You are responsible for keeping your login credentials private, using a secure password, and promptly telling us if you suspect unauthorised account access.
8. Your Rights and Choices
Subject to applicable law, including Malaysia's personal data protection framework where it applies, you may request access to personal data we hold about you, ask us to correct inaccurate data, withdraw consent for optional processing, object to direct marketing, or request deletion where we no longer have a lawful reason to retain the data.
Some requests may affect your ability to use certain features. For example, deleting appointment history, consultation notes, or contact details may prevent a salon from delivering booked services, maintaining client records, or complying with financial and operational obligations.
To make a privacy request, contact us at support@ohairpro.com. We may need to verify your identity before acting on a request.
10. Children and Minors
OHairPro is not intended for use by children without a parent or guardian. If a salon service is booked for a minor, the parent, guardian, or responsible adult should provide and manage the required information and consent.
